INFORMATION ON THE PROCESSING OF PERSONAL DATA

WHY THIS INFORMATION?

Pursuant to Regulation (EU) 2016/679 (hereinafter “Regulation”), this page describes how we process the personal data of individuals participating in the event “Pseudomonas syringae conference 2024″ organised by the University of Verona (hereinafter “University”).

LEGAL BASIS FOR THE PROCESSING

The personal data provided or in any case, collected are processed by the University in order to allow the participation of speakers/guests and users (e.g.: students, lecturers, visitors, institutional representatives, members of civil society) in the event organized by the University, as well as the provision of related optional services (e.g.: registration, payment of fees, transport, reception, coffee breaks).

The legal basis for the processing of personal data for the above-mentioned purposes is the pursuit of the University’s institutional purposes and the exercise of public interest functions; the fulfillment of pre-contractual or contractual obligations, or of obligations provided for by laws or regulations, by EU legislation.

The provision of personal data is optional. Refusal on the part of the person concerned to provide their data will make it impossible for them to book and/or take part in the event.

The processing of data relating to health and/or philosophical and religious beliefs (e.g. dietary restrictions), which may be collected during registration for the event, for the purposes of free participation in the social dinners, is carried out on the basis of the explicit consent of the person concerned, given following the procedures indicated in the registration platform. Providing such data is optional; refusal to provide such data does not preclude the person concerned from registering for the Event but may render the catering service inadequate.

 

CATEGORIES OF PERSONAL DATA

The data processed fall into the following categories

– personal, biographical and contact data (e.g. name and surname, telephone number, e-mail address)

– tax code/VAT number, current account details,

– travel and accommodation data,

– dietary restrictions.

Such data may be processed by manual, computerized, and telematic means.

This information notice is made available.

– in the web page dedicated to registrations, managed by the supplier Biba Tour srl through its own platform;

– in the website dedicated to the event: www.psyringae2024.com, managed by the University.

DATA RECIPIENTS

The data processed for the above purposes will be communicated or will, in any case, be accessible to employees and collaborators assigned to the competent offices of the University or to natural or legal persons providing consultancy or services to the University (e.g., congress service companies, filming services, photographic services, etc.). Biba Tour srl, as the main provider of conference services, involved in the organization and management of the event, and SiteGround, as the provider of the web hosting service for the event, have been appointed as Data Processors pursuant to Article 28 of the Regulations.

Personal data may also be communicated to other bodies or public administrations, should they have to process the same for proceedings falling within their own institutional competence or due to EU provisions, laws or regulations or by order of the Authority.

 

DATA RETENTION

The data collected will be retained for a period of time not exceeding the achievement of the purposes for which they are processed (‘principle of limitation of storage’: Art. 5 of the Regulation) or as required by law or regulations.

 

INTERNATIONAL DATA TRANSFER

No data transfers abroad are envisaged.

 

RIGHTS OF THE DATA SUBJECTS

Data subjects have the right to obtain from the University, in the cases provided for, access to and rectification or erasure of their personal data or restriction of the processing concerning them or to object to the processing (Art. 15 et seq. of the Regulations). Data subjects also have the right to withdraw their consent at any time. Such revocation shall not affect the lawfulness of the processing based on the consent given beforehand. RIGHT OF COMPLAINT

Data subjects who consider that the processing of personal data relating to them is in breach of the provisions of the Regulation have the right to lodge a complaint with the Data Protection Authority (art. 77 of the Regulation) or to take legal action (art. 79 of the Regulation).
